Concepts serve as a collaborative space where users can propose changes to an object like its attributes, components, or properties.
Anonymous concepts are the initial stage for new objects. The initial concept stage can be turned off for new objects to be published immediately upon creation.
When shared with other users, concepts allow transparent communication and collective evaluation of the proposed modifications before they are implemented.
Concepts are differentiated by their special header, where you can see:
- Concept version number
- Who and when created the concept
- Who and when updated the concept
Concepts are available for the following apps and their objects: Business Glossary, Documentation, Code List. You can track changes made to:
- Activities
- Attachments
- Attributes
- Ownership
- Properties
- Relations
By default, concepts are accessible to their creator and space admins. See Sharing concepts for more information.
Add concepts
Creating anonymous concepts depends on your environment settings:
- Mandatory concepts: An object will always be first created as a concept. The concept will then be published.
- Optional concepts: When creating a new object, you will see two options:
- Create as concept creates an anonymous concept
- Create object directly publishes a new object
Create a concept for an existing object by following these steps:
- In the top-right of your object, click the three dots:
- Click + Create concept.
- Select Concepts. Here, click the + Create concept button.
- If needed, edit the default name.
- Finish by clicking Create.
View/apply concept
- In the top-right of your object, click the three dots and select Concepts.
- Select a concept from the list of concepts and click View concept.
- In the top-right corner, click Apply/view changes.
- All differences from the original will be marked in green.
- You can:
- Apply concept to implement changes.
- Go Back to concept editor to continue proposing changes.
Delete concepts
- In the top-right of your object, click the three dots and select Concepts.
- Identify the concept you want to delete and click the trash can button.
- Confirm to Delete concept.
An alternative method: In the top-right of your concept, click the three dots and select Delete concept.
Sharing concepts
You can choose to share your concepts with selected users or user groups who will:
- Gain access to the concept
- Gain editing rights for the concept
- Be able to apply the concept
In the top-right of your object, click the three dots and select Concepts.
- Click View concept of your selected concept.
- Click the three dots and select Share concept.
- Select which users or user groups you want to share the concept with.
- [Optional] Add a note which will be shared with your teammates.
When multiple users collaborate on the same article, the top of the page displays the timestamp of the last change along with a link to the user who made the update.

On the ****** page, scroll down to see the list of concepts that were shared with you.
Bulk actions
Concepts allow you to export and publish multiple exports at the same time. By running exports in parallel, bulk operations are faster and no longer dependent on a single long-running job, making it easier to process large concept sets efficiently.
View all concepts
In the top-right of the Concepts page, click View all concepts to see your list of concepts and what object and space they belong to.
