In this Privacy Policy, we would like to inform you about how we process personal data on the customer portal of the Dawiso software platform (hereinafter referred to as “platform”). On this platform, as our customers, you may have a user account set up and access to electronic documentation.

WHAT PERSONAL DATA WILL WE PROCESS?

We will process the following personal data:

  • Personal data that you provide us when creating a user account. As our customer or an employee of the customer, you can create a user account on our software platform. In such a case, we will process:
    • Contact details – email address;
    • Other voluntarily provided information – first name, last name, telephone number, and other information that you provide in your user profile.
  • Personal data that we obtain when you use the services of our platform. In such a case, we process comments added to individual documents uploaded on the platform and changes made to the documents.

HOW DO WE USE THE ACQUIRED INFORMATION AND ON WHAT LEGAL BASIS?

The information that you provide us when creating a user account or when using our platform is used to enable us to provide you with our services associated with the platform. We may also use your email address to send you information about updates to our platform, changes in functionality, or changes to this privacy policy. The legal basis for processing is, therefore, the necessity to fulfill a contract according to Article 6, paragraph 1, letter b) of the GDPR, and our legitimate interest according to Article 6, paragraph 1, letter f) of the GDPR, which lies in ensuring the timeliness of shared documentation and creating a functional environment on our platform.

WHO HAS ACCESS TO YOUR PERSONAL DATA?

Only our employees have access to personal data. Personal data is stored with our storage provider, which is Microsoft. If you make a change to any of the documents you have access to in the platform or post a comment, your user account may be visible to other users of our platform.

HOW LONG WILL WE PROCESS YOUR PERSONAL DATA?

We will process your personal data for as long as your user account exists. You can delete your account at any time. However, if you post a comment on the platform or edit an available document, some of your information may be stored even after your user account is deleted.

HOW DO WE USE THE INFORMATION WE COLLECT AND ON WHAT LEGAL BASIS?

We use the information you provide when you create a user account or use our platform to provide you with our platform-related services. We may also use your email address to send you information about updates to our platform, changes to functionality, or changes to this privacy policy. The legal basis for the processing is, therefore, the necessity for the performance of the contract according to Article 6 (1) (b) GDPR and our legitimate interest according to Article 6 (1) (f) GDPR, which consists in ensuring the up-to-date shared documentation and the creation of a functional environment of our platform.

We will process your personal data for the duration of the user account. You can delete your account at any time. However, if you post a comment on the platform or modify an available document, some of your information may be stored even after your user account is deleted.

WHAT RIGHTS DO YOU HAVE IN RELATION TO THE PROTECTION OF YOUR PERSONAL DATA?

In relation to the processing of your personal data carried out by us, you have the following rights:

  • Right to access personal data;
  • Right to rectification;
  • Right to erasure (“right to be forgotten”);
  • Right to restriction of data processing;
  • Right to object to processing;
  • Right to data portability;
  • Right to lodge a complaint about the processing of personal data.

Your rights are explained below to give you a clearer understanding of their content.

The right of access means that you can request at any time confirmation as to whether or not personal data concerning you is being processed, and if so, for what purposes, to what extent, to whom they are made available, how long we will process them, whether you have the right to rectification, erasure, restriction of processing or to object, from where we obtained the personal data, and whether automated decision-making occurs based on the processing of your personal data, including any potential profiling. You also have the right to obtain a copy of your personal data, the first provision of which is free of charge, for subsequent provisions we may demand a reasonable fee for administrative costs, specifically in the amount of 100 CZK.

The right to rectification means that you can request at any time that we correct or complete your personal data if they are inaccurate or incomplete.

The right to erasure means that we must erase your personal data if (i) they are no longer needed for the purposes for which they were collected or otherwise processed, (ii) the processing is unlawful, (iii) you object to the processing and there are no overriding legitimate grounds for the processing, (iv) a legal obligation requires us to do so, or (v) you withdraw consent related to personal data for which you provided consent for processing.

The right to restriction of processing means that until we resolve any disputable issues concerning the processing of your personal data, we may not process your personal data in any way other than storing them, and potentially only use them with your consent or for the establishment, exercise or defense of legal claims.

The right to object means that you can object to the processing of your personal data which we process for the purposes of direct marketing or due to a legitimate interest, including profiling based on our legitimate interest. If you object to processing for direct marketing purposes, your personal data will no longer be processed for these purposes. If you object to processing based on other grounds, this objection will be evaluated and subsequently, we will inform you whether we have complied with it and will no longer process your data, or that the objection was not justified and processing will continue. In any case, while the objection is being resolved, processing will be restricted.

The right to data portability means that you have the right to receive the personal data concerning you, which you have provided to us on the basis of consent or a contract, and which is processed automatically, in a structured, commonly used, and machine-readable format, and the right to have these personal data transferred directly to another controller.

If you have comments or a complaint concerning data protection or a query for the data protection officer in our company, or you are exercising any of your rights, please contact our responsible person at the email address info@dawiso.com. We will respond to your queries or comments within one month.

Our activities are also overseen by the Office for Personal Data Protection, where you can lodge a complaint in case of dissatisfaction. You can learn more on the Office’s website (www.uoou.cz).

POLICY CHANGES

Our Policies may be changed from time to time. Any changes to the personal data protection policies will be published at https://help.dawiso.com.
